Deadline Check List for Ambassador Trips This page contains important information about what happens next. This would be a good document for you to save or print as a checklist.
This checklist is designed to help you remember important deadlines regarding your experience. Post this check list where you will see it often and also find someone who will hold you accountable to these deadlines. There are many deadlines that you will need to remember. We will track your progress at our office and you can track it on your Profile Account page. In advance, we thank you for your punctuality in regards to these deadlines. At any time along the way if you choose not to follow the deadlines we can ask you to withdraw from the trip and wait until another time to go.

Right when you are Accepted:
Consult your pastor or youth pastor to let them know you have been accepted Pray about who you should ask to be on your prayer team. Call and ask them to pray about being on your team.
Start working on your potential list of supporters and gathering all their addresses Begin working on your Support Letter. There is a sample located on the Prep tab under the financial section Read the Support Raising information under the My Support tab for help with writing your Support Letter Read the Preparation information located on the My Mobilization tab Apply for a Passport if you do not have a current one. *Make sure your Passport is valid throughout your entire trip.
2 weeks after being Accepted:
Your $100.00Deposit is due
Pay online at www.adventures.org/give. Select “Mission Trip Participant”. The program your child is participating in is “Ambassador”.
Mail check to: Adventures In Missions PO Box 534470 Atlanta, GA 30353-4470 *If your deposit is paid with check or money order, it may take up to 3 weeks to appear in your account
Upload your picture to your profile page Upload copy of Passport or the application to show you have applied for one Upload Support Letter to your Profile Account on your profile. AIM does not have to approve your letter before you send it, but we will gladly proof read your letter if you would like any suggestions from us. Please send an email to [email protected] to notify us to proof read your Support Letter. Download Ambassador Participant Release Form.This form must be notarized and mailed to:
Mail out your support letter. Make sure you print out your support card and mail it with your support letter. Documentthe date you have sent your support letter on your Profile One week after sending out Support Letter, call the people you mailed support letters
When all of the above is received, your deposit shows up in your support account, your support letter is uploaded and sent, and your picture is downloaded on your account page, you are commited and will be added as a contributor on your Team’s Blog.
1 Week after Committed
Add your bio and picture as a new post on your Team Blog Follow up your Support Letter with phone calls. Get more tips on the Support Raising tab
1 Month after Committed:
Follow up Support Letter with a Newsletter to inform possible supporters of your current support needs and prayer requests
12 Weeks before trip
20% of funds in your support account
8 Weeks before trip
40% of funds in your support account If you choose to withdraw from the trip at this time you are responsible to pay $500 to AIM plus the cost of your airline ticket if any part of it is already purchased.If you do not have enough funds in your account to reach this goal you will be asked to call in on a Support Raising Conference Call to get extra help and prayer.
4 Weeks before trip
50% of funds in your support account If you choose to withdrawal from the Trip after these dates, there will be a $1000 withdrawal fee assessed, plus any airline costs we have paid out.If you do not have enough funds in your account to reach this goal you will be asked to call in on a Support Raising Conference Call to get extra help and prayer.

3 Weeks before trip
The Compass – Begin your pre-trip devotional to help prepare spiritually for your trip.
2 Weeks before trip
Proof of Insurance – Upload a copy of your International Travel Insurance card to your Profile Account under My Mobilization Travel Arrangement Information completed on your Profile Account. Flights must arrive at the Hartsfield-Jackson Atlanta International Airport before 3:00 PM on the first day of your trip (either June 16th or June 30th depending on your trips departure date). Make all departure flights before 12:00 PM on the last day of your trip. Please contact AIM with any questions regarding flight times before you book your flight.
1 Week before trip
Trip paid in full We will not send you out unless your trip is paid in full and your account is settled. It can take up to two weeks to show up in your account from the time support checks are mailed into Adventures In Missions, so please plan accordingly.
